What is Pilot.com?

Pilot is a US bookkeeping, tax, CFO and operations service. Its AI Accountant categorizes and reconciles transactions in a QuickBooks Online file that Pilot sets up and manages, and customers use a web portal with an AI question feature, per Pilot's pages.

Who it's for

Pilot says it serves US entities, including startups and small businesses, wherever the owners are based. It does not support foreign entities, and it says it is not a public accounting firm.

Pros & cons

Strengths

  • Pilot lists Essentials bookkeeping at $99 a month for up to $100,000 in monthly expenses, with cash-basis books, a standard chart of accounts, a year-end package for your tax preparer, AI answers and in-app messaging support.
  • Pilot lists Core with a US-based bookkeeper, cash or accrual basis, a custom chart of accounts, reports on the 10th business day, and in-app, email and phone support.
  • Pilot says its AI Accountant covers categorization, reconciliation, vendor identification and financial statements through monthly close, syncs as activity happens, and flags unusual items such as duplicate charges for review.
  • Pilot lists integrations with bank and other financial accounts, Stripe and Gusto, and its FAQ names Shopify, Amazon, WooCommerce, Magento, BigCommerce and Salesforce Commerce Cloud for ecommerce; its FAQ also says Xero migration to QuickBooks is supported.
  • Pilot also sells Tax (federal and state filing with a free extension), CFO Services from $1,750 a month, and Operations services, with prices listed for most tiers.
  • Pilot's terms say Customer Data is treated as your Confidential Information, and that on bookkeeping termination Pilot transfers the QuickBooks Online primary administrator status to you.

Limitations

  • Essentials has no dedicated bookkeeper and is cash-basis only; the dedicated bookkeeper and accrual basis start at Core, and full AR and AP, payroll administration and a faster 6th-business-day close are Custom features.
  • Pilot's pages disagree on billing: the pricing page and the Essentials landing page list Essentials as $99 a month, monthly, with no commitment and cancel anytime, while the FAQ says plans are annual subscriptions priced on monthly expenses, connected institutions, bills and invoices, recalculated monthly from the prior three months' averages.
  • The FAQ says prepaying does not lock in a price and any usage above the prepaid amount is billed as a difference that month; it also lists a one-time onboarding charge equal to one month of bookkeeping, but the pricing page lists no setup fee for bookkeeping, tax or CFO. These pages differ.
  • Tax plans must be bought with Bookkeeping, and the FAQ says Pilot does not offer sales tax services or file personal income taxes; Core covers four connected financial institutions, and the FAQ says AP and AR are not included by default.
  • Pilot's terms say payments are generally non-refundable, prepaid fees are not refunded if you stop using the services without cause, and non-renewal notice is due 7 days before a monthly or quarterly term ends or 30 days before an annual term ends. The terms let Pilot use Customer Data to improve its platform, including AI-based tools, and do not say explicitly whether data is used to train AI models.

Plans and pricing

  • Essentials (Bookkeeping): $99 a month, billed monthly per the pricing page. Up to $100,000 in monthly expenses; cash basis; no dedicated bookkeeper; the FAQ describes annual subscriptions, so billing basis conflicts.
  • Core (Bookkeeping): Shown as 'starts at $0 a month billed annually'. The $0 figure looks like a display error; price scales with expenses. Adds a US-based bookkeeper and accrual option. Pre-revenue startups can ask for a discount.
  • Custom (Bookkeeping): Not listed. Builds on Core with options such as keeping an existing QuickBooks account, full AR and AP, payroll administration and CFO advisory.
  • Tax: From $1,000 a year (single-member LLC), $2,000 (partnership or S-corp), $2,450 (C-corp). Billed annually; must be bought with Bookkeeping. A 'just formed' price from $750 a year has limited availability. Add-ons are priced separately.
  • CFO Services: From $1,750 a month (Basic), billed annually. Essentials is from $3,150 a month and Custom from $5,250 a month; the page also has a monthly toggle.
  • Operations: Starter $750 one-time; Essentials from $850 a month. Must be bought with Bookkeeping. Starter covers incorporation via Stripe Atlas, Mercury banking setup, payroll setup and bookkeeping setup; Custom is not priced.

Prices were read from Pilot's pricing page and Essentials landing page, with billing and onboarding terms from the FAQ and client terms. The Core price shows as $0 and could not be confirmed, and Essentials billing (monthly vs annual) conflicts between pages. All amounts are in USD. Confirm on the live pricing page.
