About each tool

Motion

AI work platform combining tasks, projects, calendar and docs with auto-scheduling. Pro AI is $19 per seat a month on the monthly toggle; annual saves 33%.

Who it is for

Motion's help center describes it for individuals who want tasks, events and notes in one place, for teams that share tasks, stages and docs, and for companies that want standardized project workflow templates. The pricing page labels Pro AI for professionals and small teams and Business AI for businesses with complex needs.

Strengths

  • Motion's help center lists Projects & Tasks, Calendar, Docs, AI Chat, AI Notetaker, AI Docs and AI Workflows (AI-generated project templates, which the page says are not automations).
  • The calendar page lists integrations with Zapier, Zoom, Google Meet, Gmail, Outlook, Siri, HubSpot, Salesforce, Teams and Slack, and a public API to create, update and manage projects and tasks.
  • The pricing page lists Unlimited Storage, integrations and iOS, Android and Desktop apps on Pro AI, and 7,500 credits per seat a month.
  • Business AI adds Team Capacity Planning, Advanced Dashboards & Reports, Timeline & Gantt Charts, Time Tracking, Permissions & Access Control, Central Billing and Priority Support, and 15,000 credits per seat a month.
  • Motion's security page says it completed a SOC 2 Type II audit by Prescient Assurance, encrypts databases at rest and data in transit, and uses its own algorithms for auto-scheduling while some features use LLMs from OpenAI, Anthropic and Google.

Limitations

  • The pricing page shows no free plan; it offers a free trial ('Risk free. Cancel anytime.') but does not state the trial length.
  • Pricing is per seat and AI use is metered in credits (7,500 per seat a month on Pro AI, 15,000 on Business AI). Credit add-ons are listed at 25 cents per 100 credits (7,500 option) and 19 cents per 100 credits (15,000 option), and the page does not say which plan each applies to.
  • Motion's terms say subscriptions renew automatically, billing starts when the trial ends, and purchases are non-refundable at Motion's sole discretion; its help page says canceling does not automatically trigger a refund.
  • Motion's security page says data is not stored in the European Union and EU data residency cannot be requested.
  • Motion's pages differ on AI training: the security page says Motion does not and never will train AI models on your data, while the privacy policy lists 'training and developing machine learning algorithms' among its uses of collected information and does not mention customer content explicitly.

Sunsama

Daily planner that pulls tasks from other tools into a guided workflow. Pro is $17 per user a month billed annually ($22 monthly); 14-day trial, no free plan.

Who it is for

Sunsama's site is aimed mainly at individuals, and it also lists engineering, design, product, marketing, operations and founder or executive teams. Its Enterprise tier is for organizations that need SSO, SCIM and custom data requirements.

Strengths

  • Sunsama lists integrations with Asana, ClickUp, GitHub, Jira, Linear, Microsoft Planner, Microsoft To-Do, Monday.com, Notion, Todoist and Trello, plus Google Calendar, Gmail, Outlook, Slack, Microsoft Teams, Toggl and Zapier.
  • Its feature pages list Daily Planning, Daily Shutdown, Weekly Objectives, Weekly Review, timeboxing, auto-scheduling, Focus Mode with Pomodoro, and analytics.
  • Sunsama's help center describes a hosted MCP server (OAuth sign-in) that works with ChatGPT, Claude, Claude Code, Cursor and Notion, so AI assistants can read and work with your Sunsama tasks.
  • The privacy policy says customer data is never used to train AI models, including by third-party providers, and that AI features can be turned off per integration.
  • The pricing manifesto says Sunsama is SOC 2 compliant (self-reported on that page; no audit report is linked). The pricing page says Pro includes unlimited usage and unlimited integrations.
  • Billing help says monthly-to-annual and annual-to-monthly switches carry no extra cost, with a credit for the difference on annual-to-monthly, and that student and non-profit discounts exist.

Limitations

  • Billing is per user: the help center says one admin is billed for all accounts in a shared workspace, and users cannot be billed separately. The pricing FAQ says added members are billed to the plan, prorated mid-month.
  • Sunsama's own pages disagree on price: the pricing table, billing help and manifesto show $17 annual and $22 monthly, while the pricing page FAQ and meta text show $20 annual and $25 monthly per person. The manifesto also cites a 20% annual discount, which matches the $20/$25 figures.
  • The help center says the trial cannot be cancelled and workspace access is lost when it expires. Workspace data is deleted 30 days after a cancelled subscription ends. Payment is limited to bank-issued cards, and the pages read do not state a refund policy.
  • Primary servers are in the US, and the privacy policy says data from users outside the US is processed there. AI summaries may use unnamed third-party LLM providers, with AI processing data typically kept 30 days or less.
