About each tool

Akiflow

Time-blocking planner with calendar, tasks and the Aki AI assistant; no free plan, 7-day trial. Pro is $19 a month billed annually ($34 monthly).

Who it is for

Akiflow's own text describes it for founders, operators and professionals who plan their days by blocking time for tasks. Team pricing is handled through sales, and the Terms of Service limit the software license to personal, noncommercial use.

Strengths

  • Akiflow lists tasks, subtasks, calendar planning, integrations, the Aki assistant and a hosted Akiflow MCP Connector in its single Pro plan, with a free 1:1 onboarding call.
  • Akiflow says Aki can add tasks to the Inbox, plan calendar events, auto-schedule work, turn forwarded emails into tasks and turn meeting notes into action items, and that Aki is reachable in the app, by email and on WhatsApp.
  • Akiflow names Google Calendar, Outlook Calendar, Slack and email as inbox sources, plus Zapier and IFTTT for more apps, and says it has 10+ native integrations with two-way sync; the aki page also mentions 3000+ integrations.
  • Akiflow runs a Model Context Protocol server so AI clients can read and act on tasks and calendar data; MCP access is included in both billing cycles.
  • Akiflow offers a 7-day full-access trial and 40% off Pro Yearly for students and researchers after academic-email verification.
  • Its security page says data is encrypted with TLS in transit and 256-bit AES at rest, infrastructure runs on GCP, and a Data Processing Agreement can be signed on request.

Limitations

  • There is no free plan; the 7-day trial requires a card and the selected subscription starts after the trial unless canceled. The Terms say a trial ending does not by itself trigger automatic billing, which differs from the pricing page.
  • The pricing page does not publish AI usage or credit limits, and team pricing has no published rate and goes through sales.
  • The AI Meeting Assistant (recording, transcripts, summaries, action items) is not part of Pro and costs $19 a month extra. Add-ons renew monthly and are canceled when the primary subscription is canceled.
  • The Terms say purchases are non-refundable and no refund is due for unused time after cancellation, except where local consumer law applies. Prices can change on 30 days notice, and local pricing may apply in some countries.
  • Akiflow does not hold SOC 2, ISO 27001 or FERPA certifications, per its security page. The Terms say that if AI features are enabled, tasks, events and other inputs may be processed to improve AI functionality, under a separate AI privacy addendum that was not read; the main privacy policy does not address model training.

Motion

AI work platform combining tasks, projects, calendar and docs with auto-scheduling. Pro AI is $19 per seat a month on the monthly toggle; annual saves 33%.

Who it is for

Motion's help center describes it for individuals who want tasks, events and notes in one place, for teams that share tasks, stages and docs, and for companies that want standardized project workflow templates. The pricing page labels Pro AI for professionals and small teams and Business AI for businesses with complex needs.

Strengths

  • Motion's help center lists Projects & Tasks, Calendar, Docs, AI Chat, AI Notetaker, AI Docs and AI Workflows (AI-generated project templates, which the page says are not automations).
  • The calendar page lists integrations with Zapier, Zoom, Google Meet, Gmail, Outlook, Siri, HubSpot, Salesforce, Teams and Slack, and a public API to create, update and manage projects and tasks.
  • The pricing page lists Unlimited Storage, integrations and iOS, Android and Desktop apps on Pro AI, and 7,500 credits per seat a month.
  • Business AI adds Team Capacity Planning, Advanced Dashboards & Reports, Timeline & Gantt Charts, Time Tracking, Permissions & Access Control, Central Billing and Priority Support, and 15,000 credits per seat a month.
  • Motion's security page says it completed a SOC 2 Type II audit by Prescient Assurance, encrypts databases at rest and data in transit, and uses its own algorithms for auto-scheduling while some features use LLMs from OpenAI, Anthropic and Google.

Limitations

  • The pricing page shows no free plan; it offers a free trial ('Risk free. Cancel anytime.') but does not state the trial length.
  • Pricing is per seat and AI use is metered in credits (7,500 per seat a month on Pro AI, 15,000 on Business AI). Credit add-ons are listed at 25 cents per 100 credits (7,500 option) and 19 cents per 100 credits (15,000 option), and the page does not say which plan each applies to.
  • Motion's terms say subscriptions renew automatically, billing starts when the trial ends, and purchases are non-refundable at Motion's sole discretion; its help page says canceling does not automatically trigger a refund.
  • Motion's security page says data is not stored in the European Union and EU data residency cannot be requested.
  • Motion's pages differ on AI training: the security page says Motion does not and never will train AI models on your data, while the privacy policy lists 'training and developing machine learning algorithms' among its uses of collected information and does not mention customer content explicitly.
