What is Grain?

Grain is an AI notetaker and meeting recorder that captures calls and in-person meetings, transcribes them and writes summaries and action items. Grain says it works with or without a bot, records Zoom, Google Meet, Microsoft Teams, Webex and Slack huddles, and sends meeting data to tools such as Claude and ChatGPT through an MCP server and API.

Who it's for

Grain's site is aimed mainly at sales, customer success and product teams, with CRM sync and coaching features on its upper tiers. The Free plan is described as a way to view a team's meetings and try AI notes, and Grain bills only for users who record, upload or import meetings.

Pros & cons

Strengths

  • Grain says transcription and AI notes support over 130 languages, with the highest accuracy for English, Spanish, French, German, Italian, Portuguese and Japanese.
  • Grain lists Slack, HubSpot, Salesforce, Pipedrive and Zapier integrations, plus an MCP server and API for querying transcripts from AI tools.
  • Grain says every workspace has Paid seats and free Viewer seats; viewers can watch, comment and see AI notes, and are not billed. A workspace can mix both kinds.
  • Grain lists Starter features as custom AI prompts, custom note templates, Ask Grain AI, folders, tagging and API access, and Business features as AI coaching, custom follow-up emails, Trackers, CRM and dialer integrations and the advanced MCP server.
  • Grain says it is SOC 2 Type II certified, hosts data on AWS in the USA, encrypts customer data at rest and in transit, and that it and its subprocessors do not use customer data for model training.
  • Grain's help center says Grain uses OpenAI's API for summaries, that OpenAI keeps API data up to 30 days for abuse monitoring, and that deleted meetings can be restored for 30 days.

Limitations

  • Grain's plans page says Free has no file uploads and caps meetings at 45 minutes, with one Notetaker seat per workspace; personal-email users can record up to 20 meetings via the bot. Grain's home page also lists 90-day history on Free, and Grain's pricing page shows a '20 meetings' limit under Free. Another help article describes Free recordings as unlimited in length, so Grain's own pages disagree.
  • Starter includes 10 uploads a month. AI coaching, custom follow-up emails, Trackers, CRM and dialer integrations and the advanced MCP server are listed for Business and above; SSO, enhanced security and dedicated account management are Enterprise-only.
  • Paid seats are per user, and all paid seats in a workspace must be on the same tier. Grain's pricing page lists only the Starter price in dollars and shows no Business or Enterprise amounts.
  • Refund terms differ: Grain's FAQ offers a 30-day money-back guarantee, while its Terms of Service say fees are generally non-refundable and subscriptions auto-renew unless notice is given 30 days before the term ends.
  • Grain's help center says AI features cannot currently be disabled, data is hosted in the USA, and the Terms limit use to internal business purposes; users are responsible for recording-consent laws.

Plans and pricing

  • Free: $0. Unlimited recordings and sharing, one Notetaker seat per workspace, no uploads, 45-minute meeting cap per the plans page; free viewer seats for teammates.
  • Starter: $15 per seat a month billed annually (Reported), or $19 per seat a month on Grain's pricing page (billing basis not stated). Unlimited recording and storage, 10 uploads a month, folders and tags, custom note templates and AI prompts, Ask Grain AI, API access.
  • Business: $29 per seat a month billed annually (Reported). Everything in Starter plus AI coaching, custom follow-up emails, team insights, Trackers, CRM and dialer integrations, advanced MCP server. Monthly price not read.
  • Enterprise: Custom. Everything in Business plus enhanced security, SSO, dedicated account management and custom invoicing; contact sales.

Plan features were read from Grain's plans help article and pricing page; the pricing page showed only a $19 per seat a month Starter figure without stating the billing basis, and contained placeholder text. The $15 Starter and $29 Business annual figures come from a third-party tracker (Reported, captured September 2026), and Grain's home page also says paid plans start at $15 per user a month. Prices are in USD; annual billing is discounted, and monthly billing is available. Confirm on the live pricing page.
